Snap Finance Improves Spend Governance With Moss

An intuitive platform that supports both users and finance controls

When Snap Finance adopted Moss, the business was already using another expenses platform. Over time, however, the overhead and friction involved in running the process became increasingly burdensome.

The team reviewed alternatives as part of a tender process and selected Moss for usability and ease of implementation. Moss has since become the platform Snap Finance relies on for expenses, reimbursements and invoice workflows.

Moss stood out not only for usability, but also for the quality of support behind the product. Snap Finance wanted a partner that would move quickly, respond clearly, and help the finance team keep processes running smoothly without added friction.

Adoption was swift, especially among field-based teams such as sales and account managers. Glen says Moss made expense submission straightforward, which helped the rollout land smoothly across the business.

Internal feedback reinforced this early. “Our chief people officer said this is the simplest expenses platform that he’s seen in 30 years,” adds Glen.

Snap Finance uses virtual cards and reimbursement workflows to give employees the flexibility to spend when needed, while maintaining finance oversight in the background.

The team reimburses on a weekly cadence. Expenses are approved by line managers, with finance completing second-line checks before reimbursement.

Faster month-end answers through connected invoice workflows

Before Moss, invoices were often paid directly through online banking. That approach made it harder to connect a bank payment back to the invoice and supporting context.

“It was time to bring the process into the 21st century, becoming paperless, whilst having all payment information and invoices stored in the same place,” says Glen.

By moving invoice payments into Moss, Snap Finance has improved month-end responsiveness. “At month end when we are looking at variances, or the CEO calls out something and wants to see an invoice, we could just go and grab straight from the system. This gives the business real oversight into all expenditure, whether it be on card, reimbursements or invoice payments,” says Glen. The approval trail is also far clearer.

As audit time approaches, Snap Finance relies on Moss as a central record of what was approved, by whom, and why. Having invoices and supporting documents connected to the approval trail reduces time spent searching for evidence and makes it easier to answer audit questions with confidence.

Receipt compliance that supports a growing business

As Snap Finance has grown, governance has become increasingly important. Glen describes Moss as an enabler for scaling, because previous ways of working would not have remained viable as headcount and expenses increased.

To strengthen receipt submission, the team introduced a clear policy. “If you have more than five receipts outstanding for seven days, then your card will not work,” says Glen.

The team also values the missing receipt form built into Moss. It removed the need for a separate Word document process and made the workflow more consistent.

Over the past few years, Snap Finance has grown quickly. Glen says Moss has been critical to keeping processes scalable as headcount and spend increased, adding the governance and control that would not have been possible with their previous approach.

With spend again under closer scrutiny this year, Snap Finance is focused on improving visibility and strengthening control across operating expenditure. Glen says having reliable, centralised information makes it easier to understand where money is being spent and to act quickly when something needs attention.

Looking ahead, the team plans to use Moss reporting more actively to support management discussions on spend, reducing the need to export data into spreadsheets for ongoing reviews. With a platform that is easy for employees to use and a support team that responds quickly, Snap Finance can keep processes running smoothly while governance scales with the business.
