New Soul is one of Germany's fastest growing boutique fitness groups. With multiple studios already in operation and more opening each year, the business needed a finance setup that could keep pace with rapid expansion. Working with implementation partner torq.partners, New Soul used Moss to professionalise its finance function from the start, scaling to ten studios without adding headcount.

Early on, New Soul's finance team lacked centralised visibility, reliable documentation and scalable workflows, challenges that became more pronounced as new studios were added. Invoices and card payments were handled across multiple tools with no unified structure or flow between studios.

Finance often had to search for missing invoices, resolve incomplete entries, or chase teams for documentation, slowing down monthly reporting. Without a clear cost centre structure, it was difficult to understand studio-level performance or prepare contribution margin analysis. As each new studio came online, the volume of transactions and documentation grew, making manual processes unsustainable.

To create a finance structure fit for rapid expansion, New Soul partnered with torq.partners, who designed a scalable financial backbone and implemented Moss at the centre of daily operations.

torq introduced a studio-level cost structure for transparency and control, automated pre-accounting driven by vendor rules, department/subscription/studio cards replacing legacy credit cards, integrated invoice capture, streamlined approval flows that empower employees, and automation to standardise cost allocation across studios.

Today, Moss supports New Soul's finance operations across all studios. Invoices, card transactions and approvals flow into Moss, giving finance a reliable, real-time view across every studio. Vendor rules, AI extraction and automated document capture reduce manual adjustments and ensure accurate coding from the start.

A consistent cost centre and cost bearer structure enables clear contribution margin reporting. Finance scaled across ten studios without increasing headcount, month end is significantly faster thanks to real-time, structured data, and manual pre-accounting work has been substantially reduced.
